AI in Healthcare
Operations
Where HIPAA-compliant AI is actually paying off: in practice management, from intake and scheduling to prior authorization and billing, and in patient marketing and analytics, plus what HIPAA really asks of every AI vendor. Written for practice owners, administrators and operations leads deciding what to try first.
Four numbers worth knowing
Each one is cited to its public source inside the report.
Three parts, nine sections, every claim sourced
Each section ends with a short checklist your team can start this week.
Where practices actually are
Almost every physician uses some AI now. Fewer practices can say it has taken work off their staff. Why the gap exists.
Part A · Documentation and ambient scribes
The Kaiser Permanente rollout, the first randomized trial, and what to measure before you buy.
Part A · Intake, scheduling and patient messaging
Why the front desk is the lowest-risk first project, and what the inbox-drafting studies found.
Part A · Prior authorization
The hours it costs, the federal deadlines that started in January 2026, and where software helps your side.
Part A · Billing and the revenue cycle
Eligibility, coding help, denial triage and balance outreach: narrow projects with clear numbers.
Part B · Finding and keeping patients
AI in recall, reviews, search and patient campaigns, and how to measure booked and kept visits from data you own.
Part B · Tracking pixels and the marketing rules
HHS's tracking guidance, exactly what the 2024 court ruling vacated, HIPAA's marketing rules, and eight questions for your agency.
Part C · What “HIPAA-compliant AI” actually means
No certificate exists. BAAs, minimum necessary, data paths, de-identification, logs, the Security Rule proposal, and seven vendor questions.
The 90-day plan
One workflow, one baseline, one signed BAA, one pilot. Then decide.
From section 8: there is no certificate to buy
HHS does not certify software, and it does not recognize private HIPAA “certifications”. A vendor badge is not a substitute for the paperwork. Under HIPAA, anyone who creates, receives, maintains or transmits patient health information on a practice's behalf is a business associate, subcontractors included. An AI scribe, an answering agent, the model provider behind them and the cloud they run on can each be one. If a vendor will not sign a BAA, the conversation is over. The questions below are the ones to send before

Written for the people who run the practice
Practice owners and medical directors
Which AI tools have evidence behind them, which are still a bet, and what to ask before anything touches patient data.
Practice administrators
Where staff hours actually go, how to baseline a workflow, and how to run a pilot you can judge in 90 days.
Operations, revenue cycle and marketing leads
Prior authorization, denials and collections, plus patient acquisition: the narrow projects that pay, how to measure them, and the reviews that keep them safe.

Before you fill in the form
Is the report really free?
Yes. There is no paid version. It is how we introduce ourselves to practices thinking about AI.
Where do the numbers come from?
Public surveys, peer-reviewed studies, federal rules and regulation text, each linked in the report. We did not run our own survey and we quote no client results.
What is the HIPAA AI Readiness Review?
A free 15-minute call about one workflow you want to automate. You leave with a one-page summary of where patient data would go, which vendors would need a BAA, and what to check first. Nothing to buy on the call.
Will you call me?
Possibly. Michael, our founder, may email or call to ask which workflow matters most to you. Say no and we stop.
How is my data used?
Your details go into our CRM so we can send the report and follow up by email, or by phone or SMS if you gave a number, about the report and our services. You can opt out at any time. We never sell or share them. Our privacy policy has the details.
Is this legal or compliance advice?
No. It is an operations and engineering report. HIPAA and payer decisions belong with your counsel and compliance lead.
